This leading law firm are looking for a Central Records Administrator to join their Business Services function on a 6 month fixed term contract starting as soon as possible. They will be working within the Central Records Department which is responsible for cataloguing, safe storage, retrieval, retention scheduling and secure destruction or permanent withdrawal of all matter related documentation generated, requiring a high level of accuracy and quality, along with the ability to work well under pressure in a timely manner. The Central Records Administrator will be providing an excellent service both to internal and external clients, understanding requests, updating on progress, managing deadlines and seeking clarification as necessary. Day to day duties and responsibilities: Ensure all requests are completed to a high standard in a timely manner, following instructions and utilising all available facilities. Using workflow management software (Unity) to undertake client requests, booking work in and out, liaising with other departments and external suppliers as necessary. Meet specified deadlines by prioritising own workload at all times, liaising directly with clients, the Bridge and other members of the team and Practice Support as necessary. Ensure that relevant quality control measures are undertaken and that all work is checked accordingly before being signed off placing an emphasis on quality of product and accuracy. Undertake thorough handover with oncoming operators as necessary, ensuring that all relevant information is available for them to perform their role as required. Demonstrate a clear understanding of departmental objectives and work with team members and management to ensure their achievement To work in a clean and tidy manner, ensuring that stock is put away and equipment is maintained as required. To communicate with Supervisor and Coordinator, reporting any problems regarding Job requests, equipment and stock levels as appropriate. Perform basic maintenance tasks on all department equipment such as the shrink wrapper and binding machines e.g. refills, charging etc. To be flexible in undertaking these duties and any other duties as required by the Manager, Coordinator or Supervisor. Key requirements Must have a broad understanding of UK legal records storage requirements including the use of bibliographic databases, storage procedures and processes, cataloguing, retention schedules and the use of Information barriers. Experience of a busy legal records environment placing an emphasis on accuracy and quality. Experience of prioritising workloads and managing short or conflicting deadlines. Excellent communication skills. Preferably holds a nationally recognised qualification in Records / Information management Strong customer focus. Must be punctual, committed, flexible, and be keen to develop the service. To display high standards of professionalism and commitment. Essential Technical Skills Operational knowledge of records bibliographic databases such as Legalkey Binding machines Shrink wrap machines Knowledge of software packages: Adobe Acrobat, MS Word, Excel & PowerPoint, MS Outlook Please apply now for more information.
