Objective To provide administrative support to the Income section team and Housing officer as requiredMain responsibilitiesPractice Expectations1.    At all times to provide excellent customer service to both internal and external clients and to work to the highest standards in all KPI’s. General Management2.    To distribute the daily Finance department post to all sections as required – on a shared basis.3.    Scanning; importing and filing fees documents – on a shared basis4.    Record incoming cheques and distribute to Management Accountants, together with remittance advices5.    Credit card receipt letters – fees and housing Housing Rental Services6.    To provide administrative support to the Housing Officer as needed, covering the following:a.    Sending all debtor letters and required follow up lettersb.    Running weekly/monthly direct debitsc.    Produce the weekly void property reportd.    Produce the weekly housing debtor reporte.    Reviewing the weekly housing debtor report: Formers; Current & ATP tab and sending all ATP’s and follow up letters as neededf.     Take and process card paymentsg.    Answering housing calls and taking necessary messages or actions as neededh.    Managing the Housing System application listi.     Updating the Housing System database as required including receipting on a weekly basisj.     Running credit vetting checks as requiredk.    Managing deposit payments on the TDS system as requiredl.     Managing Landlord tap as requiredm.  Scanning; importing and filing of housing documents Extra Care7.    At month end to run the Hotel Services charges, raise and send account statements and submit all related invoices and/or call any Direct Debits. Payroll debt8.    To action all Payroll debt as notified from the Payroll Dept. Fees creditors9.   Each month to review and action private creditor balances keeping these to a minimum Fees – general10.    Send all standard debtor chase letters11.    Payment receipts: adding payment amounts to the Shaw Fees Database, allocating them accurately to the relevant resident account and payer. Other Duties12.    When required to assist the Assistant Income Manager and Income Manager in the annual fee increase process in all regions by:13.    sending out Private Shaw Healthcare contract amendment letters14.    monitoring and chasing up any outstanding contract amendment letters15.    Archiving16.    To carry out for the Assistant Income Manager and Income Manager any other duties as required. Relationships17.    To develop and maintain close and effective working relationships with colleagues across the company. Health and Safety18.    At all times to take personal responsibility for all health and safety matters in the working environment.About the companyWhy Shaw healthcare?Shaw healthcare provides a high standard of health and social care in services across England, Wales and Scotland.
