This leading International law firm are looking for an experienced Legal PA to join forces and support the Intellectual Property/Trademarks practice area, working with a fun and dynamic team of Lawyers. This is a 12-month fixed term contract where your IP or Trademarks expertise will be valued greatly. You will be supporting a team of Partners/Fee Earners and working on high-profile client accounts and the firm offers a collaborative, supportive environment that encourages personal development. As a Legal PA, your duties will encompass:- · Responsible for all aspects of the administrative and secretarial work for the IP/Trademarks team · Working very closely with all members of the team in an efficient, proactive and professional manner · Understanding workload and prioritising duties to ensure best practice · Providing a professional and personable point of contact for all external parties, particularly clients · General administrative duties including file opening, billing and file closing · Managing team members’ diaries and outlook calendars · Audio and copy typing of correspondence using digital dictation · Editing, formatting large documents into house style · Organising various internal and external meetings including room bookings, refreshments and IT equipment · Managing telephone, voicemail and out of office email messages for the team when they are not available and responding or re-directing where necessary · Coordinating and managing hospitality, conference calls for the team · Reconciling and processing expenses · Proactively assisting and managing the team’s IT queries / issues, to include liaisons with internal IT support and if necessary, the external IT Provider · Distributing documentation internally and externally, electronically or hard copy · Delegating large jobs to alternative sources · Ensuring all team electronic and hard copy filing is managed in a timely and efficient manner in strict accordance with the firm’s procedures · Organising client events and ensuring meeting rooms are fully set up · Maintaining the contacts database and working on Excel spreadsheets and PowerPoint presentations Key Competencies: · Previous Legal PA experience in Trademarks, Intellectual Property · Strong interpersonal skills and a high awareness of customer service principles and techniques · A high level of presentation for all documentation and a good command of written English · Proactive and pragmatic approach to work with excellent team ethos · Ability to work under pressure, manage conflicting workloads, prioritise well and work to deadlines · Highly organised, efficient and a positive ‘can do’ attitude · Ability to ‘think outside the box’ and work on own initiative · Work coherently with the team of PA’s / Secretaries, demonstrating strong team playing skills · Typing speed of 60wpm, Advanced knowledge of Word, Excel, PowerPoint and Outlook To apply, please send your CV with your contact details to Nicola Zengin.  Hartbrooke Associates offer a 'recommend a friend' incentive scheme to all registered candidates who kindly refer colleagues or friends to us!
