We specialise in the recruitment of high quality candidates in the Administrator sector.

we have an opportunity for an experienced EA opening with one of our clients.

Main Responsibilities

Providing full administrative support for the following key meetings:

* Board Meetings – six per year
* Council Meetings – four per year
* Annual General Meeting – 1 per year
* Board Committee Meetings – approximately 10 per year

* ensuring all lists, contact details, labels, name plates are all up-to-date
* formatting and making amendments to all papers
* ensuring members for each meeting receive their papers by post

* extensive and complicated diary management
* drafting papers, agendas etc
* proof reading letters and reports etc (sent from other teams, check and format)
* requesting and chasing material on behalf of the Chief Executive, Deputy Chief Executive and Finance Director
* taking full and accurate messages
* organising meeting rooms, refreshments/catering and AV requirements
* providing relevant material for appointments
* initial handling and, if necessary, re-routing of letters, phone calls and visitors for the Chief Executive Office
* booking and researching travel for the office including preparing itineraries and schedules for each trip
* supporting at CEO Events with registration and arrangements (some early mornings and evenings)
* updating the CRM system

* assisting with the production of the London Business Matters (LBM) Magazine

* taking photographs
* choosing images to use
* uploading all information onto Dropbox
* compiling mailing lists

* photocopying, printing and filing
* responsible for checking and distributing the noticeboard to all staff
* responsible for stationery
* Any other duties as requested by the Executive Assistant

Responsibilities

* playing an active part in team meetings, staff meetings and other internal communication
* keeping up to date with all activities, services and initiatives through regular liaison with other teams and use of the Intranet
* presenting an efficient, professional and positive image of the Chief Executive’s Office
* observing the Chamber’s quality standards and contributing to their improvement

Skills and Aptitude

* Ability to deal with Board and senior director level clients
* Track record of reliability and trust from senior management team
* Ability to pick up the commercial working environment
* Experience of providing secretarial and admin support to senior director(s)
* Ability to understand and observe confidentiality within the team
* Must be able to communicate effectively with Executive Assistant at all times

* Intermediate MS office skills
* Excellent communication skills
* Excellent telephone manner
* Excellent organisational skills
* Good time management
* Strong attention to detail
* Ability to act on own initiative and solution seek
* Good team player
* Calm under pressure

* Strong interpersonal skills and customer service

* Some early mornings and evenings
