Role: Business Support Manager Duration: 9-month FTC Maternity Cover Location: Sutton, Surrey Salary : £34,940 + Benefits Our client, a leading global secure solutions company who are seeking a Business Support Manager on a 9-month fixed term contract to assist in recognising and driving value for the business. The role will require an ambitious and hardworking individual to join the team. The role will involve continual interaction with various departments. JOB PURPOSE: To assist in the day to day operation from a financial/operational perspective for Fleet services supporting the Head of Fleet Services in delivering a high quality, efficient and effective service to the branch network. MAIN DUTIES AND RESPONSIBILITIES: Account Management for key fleet vendors involving daily, weekly, and monthly interaction MI Reporting for the Head of Fleet Services Preparation of weekly financial reports on specific areas of the department where spend is notably high Fuel Management Analysing of departmental figures (from both an operational and overheads function) Preparation and attendance of monthly trading review with the Operations Director, Finance Director and Head of Fleet Services Preparation and submission of capital expenditure forms (including preparation of supporting business cases) Ensuring the capital budget is reviewed and tracked on a weekly/monthly basis Monthly forecasting / accruing for all departmental spend Preparation of annual capital/overhead budget with Head of Fleet Services Weekly KPI reporting Project Management Assisting and dealing with internal financial posting queries Daily interaction with the Finance team on Vehicle Ops leases Raising and goods receipting of purchase orders when required Carry out a monthly review on asset disposals and raise required paperwork where necessary Ensuring all assets are capitalised within an appropriate timeframe Creation of new processes within the department when and where required Providing ADHOC cover within the department when required Managing Fleet Technician Timesheets Carrying out HR duties for the Fleet Management team (annual leave, sickness etc) Management of monthly Fleet Management team expenses Management of Office supplies and uniform orders Management of fuel card orders and tracking IClass cards - Issuing and journal cost Processing and monitoring Barclaycard spend management Database Updates (MIB Insurance & Congestion Charge) Toll Account Top Ups The Ideal Candidate: Well organised and with the ability to deal with people professionally, politely and sensitively at all levels both verbally and in writing, with good communication skills. Good level of literacy for letter writing assisting with reports, creation of presentations using MS PowerPoint and MS Word. Financially literate, with a strong level of numerical competency for spread sheet population and management, proven MS Excel expertise required. Ability to accurately maintain computer-based information on spreadsheets and database packages and to create/assist with reporting using Microsoft Office. Good organisational skills and the ability to prioritise workload together with the ability to show initiative and independence; able to create, manage and use filing systems. Flexibility & adaptability in a fast-changing corporate environment. Full driving licence and occasional travel within the UK.
