Our clients, a successful multi-branch independent Estate Agency, are looking for an experienced Maintenance Manager to join their busy lettings team based in Glasgow. They are a trusted and well-known name in property sales and lettings across the region. Their experienced lettings team is looking for an organised and driven individual to service the ongoing needs of their landlords and tenants, whilst helping to grow the portfolio of managed properties.

You shall be managing the repairs and safety certification for the portfolio, from first report to completion, ensuring all jobs are completed, contractors invoicing is up-to-date, and that the maintenance department is running smoothly.

Key Responsibilities:

* Log repairs received by telephone, email or face to face onto the system and liaise with the relevant parties to manage the repair to through to completion
* Updating Property Managers, landlords and tenants on the process of repairs
* Complaint handling
* Invoicing for completed jobs
* Monitor outstanding invoices and chase any late payments
* Provide support to Property Managers and Viewing Agent to ensure properties are ready to market with minimum vacant period
* Check contractor invoices
* Liaise with landlord, contractor and relevant parties in dealing with insurance claims
* Overall responsibility for key log
* Overall responsibility for monitoring all safety certification/checks are up to date, ensure that the landlord is aware when they are due and instruct as necessary.
* Monitor until safety certificate/report is received into the office and saved on to the system:
* Answer and deal with general telephone enquiries.
* General daily administrative duties including taking rental payments by card, updating necessary spreadsheets accordingly, filing etc.
* Ensure all communications are logged on the system in the relevant ‘notes’ section in SME and that any correspondence is saved on the system
* Admin support as and when requested by Manager

To carry out this role will involve:

* Updating the system (SME) on a daily basis to monitor and maintain property records
* Ensuring that the company policies are upheld at all times whilst carrying out your duties
* Promoting company mission and philosophy to all prospective and current landlords and tenants
* Building up strong relationships with all parties to gain trust and to keep the reputation of the company as the best in the local area
* Ensuring compliance with ARLA Property mark, GDPR and company code of conduct at all times.

Key skills and strengths:

* Confident communication skills
* Strong administrative and IT abilities
* Drivers license
* Strong time-management, organisational and multi-tasking capabilities
* Proficient with Microsoft Outlook, Excel and Word
* Relevant and recent experience in a similar role is preferred
* Experience using SME Professional software (would be beneficial but not essential).

Hours: Monday to Friday 8:30am-5:00pm, except Thursdays, which are 9:00am-5:30pm

Start Date: ASAP

Salary: �18,000 - �20,000 (Depending on Experience), plus progression opportunities.
