The Programmes and Events Executive will be responsible for oversight, management and delivery of a number of the open and in house programmes. They will be supported by and manage a programme and events coordinator. The role holder will ensure that they are providing excellent service in regard to programmes and events through excellent product knowledge, effective implementation and monitoring of relevant systems, procedures and policies and management of stakeholder relationships.

Job Description:

The Executive’s primary responsibilities are:

* To provide excellent support, advice and guidance so as to maximise the products and services of our Programme and Events in regard to both income and quality standards.

* To effectively co-ordinate the delivery of all open and bespoke programmes and events and conferences.

* To ensure efficient and prompt processing of enquiries from possible customers/suppliers, including the monitoring of mailboxes, phone queries and live chat services.

* To work within agreed operational plans and set targets making effective use of resources, adhering to budgets and working with their line manager to ensure budgets stay on track.

* To develop and implement highest standards of customer service standards for themselves and the team.

* To effectively plan, implement and co-ordinate events and conferences, with particular regard for customer need, quality standards and communication with venue and P&E colleagues.

* To manage relevant projects to delivery through coordinated planning, resource scheduling and capacity management.

* To provide and review management information as required relating to programme delivery including use of associates and staff, financial information and feedback data.

* To maintain and produce relevant delegate data within GDPR and internal processes and requirements.

* To be responsible for all financial administration of delivery (purchase orders, contracts, invoicing) to ensure that cost remains within agreed margins/budgets and in line with financial policies and procedures.

* To manage post programme customer satisfaction survey, impact surveys, feedback analysis and learning.

* Any other reasonable duties commensurate with the level of role.

Agreed objectives will be set and performance will be measured by results and how they are achieved.

Person specification

* Experience of event management across a wide range of style and scope of events from a short workshop to a complex multi-day large conference, able to demonstrate working with a number of clients up to the most senior levels, variety of types of contributors and locations/venues.

* Experience of programme delivery co-ordination across both open and bespoke in house) programmes and conferences.

* Effective supervision and delegation skills and demonstrable experience of having the aptitude to lead a team.

* Experience of managing budgets.

* Knowledge and demonstration of some experience in project management methodologies and approaches.

* Awareness of quality improvement processes.

* Excellent IT kills across a range of IT systems.

* Able to demonstrate experience of a commitment to continuous improvement in regard to products, process and teams.

* Experience of working within a customer focused environment.

* Experience of working with a range of databases or CRM systems including all aspects of data gathering and migration, input and monitoring.

* An understanding of the higher education sector
