This position is for 4 days per week spread over 5 days and would work very closely with the HR Manager and the Management Accountant and be the first point of contact for office administration requests.

Accounts Responsibilities:

* Monthly processing of company credit cards
* Download statements
* Convert to Excel
* Obtain receipts and codes - often chasing staff for information
* Completion of monthly expense forms
* Reconcile receipts with statements
* Enter expenses into QuickBooks finance system
* Creating purchase orders as and when required & entering
* Ensure invoices received are coded, authorised, entered into QuickBooks and filed.
* Bank statement reconciliation
* Monitoring the Finance inbox
* Running monthly reports and monitoring budgets
* Compliance with Finance deadlines
* Ad-hoc requests from Management Accountant

Call Centre Responsibilities:

* Responding to requests for support staff
* Liaising with agencies and direct applicants
* Issuing paperwork
* Checking PO's against hours completed and costs
* Keeping in regular contact with Project Managers
* Overseeing the general staff

HR Responsibilities:

* Assist with the induction process
* Support the recruitment and selection process
* Contribute to the appraisal process
* Ad-hoc requests from HR Team

General Administration Responsibilities:

* Answering telephone calls and emails professionally, re-directing queries or taking messages where necessary
* Monitoring the support email inbox
* Checking daily time stamp and timesheets
* Ensuring all office supplies are always up-to-date and pro-actively ordering things where necessary
* Heavily involved in social committee
* General administration requests (office sundries)

Requirements of the HR/Accounts/ Office Assistant:

They are looking for someone who is very pro-active, has good attention to detail, who is a good team member, who feels comfortable to interact with the team daily, but who also can work on their own initiative. Strong organizational, ability to prioritize tasks and communication skills are a must.
