My client are a modern building services and construction company. Due to company growth they are after an Office Administrator to support the management team and projects.


* Dealing with telephone and email enquiries
* Creating and maintaining filing systems
* Using a variety of software packages, such as Microsoft word, Outlook, Excel and Sage to produce cor-respondence and documents and to maintain presentations, records, spreadsheets and databases
* Managing and maintaining projects on Sage and ensuring all projects are managed in the right and proper manner
* Photocopying, scanning and printing various documents
* Preparation of quotes, tenders and project reports for Management
* Supporting project managers and admin team
* Assist with RAMS package, assist PM with programme updates
* Centralised O&M package submittal
* Manuals come back to you and is then sent across as part of the handover to the client
* Procurement - set up supplier database with PM for new projects. Log in supplier quotes and invoices. Aim is to have a centralised system that can help accommodate local as well as overseas suppliers for future & current works. You will be trained with the current finance system being used by the company - Sage by one of the Finance teams.
* Assisting with day-to-day operations of ongoing projects with the PM - including
* Assisting with the pre-construction works (PQQ and Quotation/Tender preparation);
* Assisting with Project Programmes;
* Assisting with obtaining quotations from the supply chain
* Assisting with control throughout project lifecycle;
* Attending client and site meetings;
* Assisting with preparation of reports e.g. Progress reports
* Assisting and liaising with the commercial team for valuations etc.
* Assisting with project completion/handover.


* The nature of the role is to support managements and projects rather than to take lead on the projects
* Full training will be provided
* The role can be stressful at times, since the work is always focused on the needs of the manager or team
* Deadlines may be imposed suddenly, demanding flexibility and reprioritisation of the workload
* The role itself will be working/supporting project managers and admin team
