Project Support Services Administrator 12 month contract Milton Keynes A prestigious organisation within the rail industry is in search of a HR Administrator to join them on a 12 month contract, paying £11.50 per hour. Below you will find activities and duties this role will entail: Vehicles: • Creation of service product materials in SAP • Creation of SAP contracts in respect of projects • Creation of sales orders and service orders when a unit arrives on site • Create VHB’s ready for shop floor • Ensure the unit schedule is updated regularly • Update SAP with any order updates as the projects progress • Entry of additional customer demand into SAP (AAW) • Handle shop floor queries in a timely manner • Expedite any open route cards with the Team Leaders to ensure that all operations are completed and confirmed • Shipping and billing orders in SAP when they are complete • Scan and digitally archive all VHB’s on completion of units. The hard copies must also be archived to satisfy auditory requirements Spares: • Monitoring the spares inbox and responding to customers within a timely manner • Creation of quotations in SAP and following up to receive a customer purchase order • Processing of customer orders and updating the customer with the order progress • Coordinating with procurement to ensure the delivery of parts in time for the customer requirement date • Shipping and billing orders in SAP when they are complete Incident: • Billing orders in SAP when phases are complete • Closing down orders in SAP when they are complete • Providing additional support to the incident team when required Miscellaneous: • Raising indirect purchase orders • Entering time bookings into SAP • Time booking analysis and adjust any labour queries raised • Providing holiday and sickness cover for the wheelshop when required • Monitoring the order bank to ensure that all orders have been processed correctly and chasing the relevant person on orders that are overdue. • Running the aged debt report and chasing overdue payments • Sending invoices to the customers and resolving any invoice queries that may arise • Ensuring that the forecasted sales are achieved each month • Adhere to the service level agreement that has been set • Providing additional support to the Project Managers, Production and Senior Management when required.
