Due to the phenomenal growth our client is experiencing - they are now looking for an experienced Office Manager to join the business to help unlock further growth and success for both the business and themselves.

You will be based in an office in Rochester which is shared with another small company with two other members and a dog! If you have a concern with the dog, let them know.

Primarily you will be working on your own within the office, ensuring the smooth running of the business day to day, and using initiative to try and help grow the business, at which point they may look to bring in an assistant. You will be in contact with the engineers, customers and managing director through the day to make sure the days run smoothly.

Key Roles & Responsibilities:

* Provide general PA support to Directors including diary management; travel bookings, preparing presentations and reports
* Ensure efficient administrative practices are developed and maintained
* Manage all issues relating to premises (rent, cleaning, maintenance etc)
* Ensure relevant company insurances policies are current
* Research any new technology requirements for the business and report to Directors for assessment and direction
* Maintain company records and filing systems securely and efficiently
* Monitor expenses and report cost over-runs to Directors
* Liaise with bookkeeper and accountant to ensure accounts are up to date and taxes are paid by due dates
* Prepare payroll for office staff
* Ensure timely payment of contractor and supplier invoices
* Maintain and control petty cash records/expenditure
* Maintain company's asset register
* Prepare reports as requested by Directors
* Keep Xero accounting software up to date
* Coordinate customer surveys, referral strategies and testimonials
* Develop and coordinate client retention initiatives
* Organise and manage Staff Team Building exercises
* Continuously look to further improve our Environmental practises
* Continuously look to improve client retention and sales techniques
* Support Directors in the implementation of Marketing Plans
* Maintain the positive image of the company through professional, responsive service
* Maintain statistics and report on Client Retention Rates, client numbers and Payments
* Undertake recruitment for administration and support staff including advertising, interviews, reference checking
* Undertake induction for new administration and support staff
* Maintain up to date position descriptions and contracts for all staff
* Coordinate team members performance reviews
* Assist in identifying and implementing safety improvements

Key Experience and Skills Required:

* Good organisation skills with the ability to work methodically, accurately and neatly
* Experience in using CRM systems or similar would be ideal but not essential
* Strong PC skills in Word; Excel; Access; Powerpoint; Outlook
* Good standard of numeracy
* Good oral and written communication skills
