Accommodation Booking Administrator

Provide support to the Accommodation Manager and Lead Administrator to ensure that the Accommodation Booking Centre delivers an efficient and effective service. To field, assess and accurately log into the Agilysys system all accommodation requests, to enable accommodation to be allocated in the correct priority order.


Promoting a safety culture and ensuring you are aware of and comply with all client and company health & safety procedures and standards at all times
Understanding of the Defence Academy Accommodation Policy in order to log accommodation requests using the correct priority codes, to enable accurate reporting and optimum functionality of the accommodation
Proactively managing and monitoring the quality service provided by the accommodation booking centre to ensure that standards are met, response times are achieved and problems are resolved or escalated to minimise customer complaints in line to ensure contract requirements are met
Handling customer calls professionally, effectively and with timeliness ensuring that the right information is captured and the request that is being raised is logged correctly
Role modelling the ESS Way behaviours at all times to colleagues, customers & clients and demonstrating Compass DNA behaviours at ‘Delivering’ level
To check the reception log book daily and ensure that you are aware of any issue/occurrences that may have taken place
Ensure that any relevant information is recorded in the log book for team members coming on to duty later
To help with the on the job training of new team members
Loading of course personnel on the Visual One system
Generation of short term mess bills
Take payment for customer mess bills by cash, cheque & credit/debit card, process refunds when authorised to do so; ensuring all Profit Protection Procedures  and  relevant  paperwork is adhered to at all times
Issue room numbers to course personnel already loaded on to the system
Print off arrivals proformas & mess bills, attach to envelope containing allocated room key and place in alphabetical order in arrivals basket
Ensure that written accommodation boards are up to date
Issue keys to contractors etc ensuring that the key issue is recorded in the Key issue book and that the key is signed back in
Daily batch check In
Issue keys to delegates booked in
Issue a room to delegates not booked in and load information on the system
Check guest in and out of accommodation
Chase up missing room keys
Answer guest queries
Deal with telephone calls
Report faults on the site FM Easy system and log repair numbers
Deal with emails in the shared account (flagged for specific person)
Assist with the daily/float exchange/takings, ensuring that the mess bills balance, ensuring all Profit Protection Procedures  and  relevant  paperwork is adhered to at all times
When required carry out a daily post scan
Make up TTR packs
Maintain a good relationship with cleaning department, ensuring that they are kept informed of any changes i.e. new arrival/early departure
Ensure we have a large supply of pre stamped envelopes for each building
Carrying out other reasonable requests made by your Line Manager including working in areas other than those to which you are accustomed
Ensure that uniform standards are upheld to the highest standard and adhered to
To attend weekly ‘ Huddles ‘ with your team leader


Essential


Proven experience delivering exceptional customer service and seeking improvement for clients and consumers
Able to work flexibly in line with business requirements
Competent in the use of Microsoft packages
Good general standard of education
Ability to organise, prioritise, and manage tasks to deal with the day to day demanding environment


Desirable


Military structures & communication methods
Experience in reception
Experience working in a call centre/helpdesk role ideally in a similar environment
Knowledge of accommodation scheduling
Basic PC knowledge
Ambition to develop skills and knowledge to progress further and grow in the role
