Overview The Office Administrator assists with the coordination of external and internal meetings and events on a yearround basis. Provides a support function to the coordination of the Championships and the Control Office. You will be expected to develop and maintain strong and supportive relationships with your work team and all other departments.Responsibilities: Meeting & Event: • You will be supporting with the administration and coordination of meetings and events to include menu and collateral printing. • Understand the process of Delphi as a diary management system for meetings and events. • Management of internal meetings and events quotations, invoicing, and reconciliation. • Support weekly Function Meetings as required, take minutes, and keep accurate event information and feedback. • Provide administrative support to the Operational Team as required, including but not limited to general admin, signage, menus, table plans, financial administration, data input and other bespoke requirements. The Championships: • To support the Head of Hospitality with any administrative tasks including but not limited to tasting notes, menu writing, meeting minutes and tariff printing. • To diaries and coordinate the Championship calendar with all relevant parties including meetings and tasting Internal Food & Drink at Wimbledon – March 2024 Food & Drink at Wimbledon –March 2025Control Office: • Timely reporting for equipment requiring maintenance liaising with the Estate Management helpdesk through all forms of communication as required. Keep the operational teams updated of progress. • Support the control office operation during the Championships. • Responsible for stationary ordering and stock management of the Control Office. Person Specification • To be passionate about delivering a great service through outstanding customer focus. • Strong IT proficiency in particular Microsoft Office (notably Excel, Word, PowerPoint). • Exceptional eye for detail. • To be able to confidently and comfortably communicate well with a broad range of stakeholders and within the F&D team, both on the phone and in person. • To have a flexible approach to work, maintaining a calm and dignified manner at all times. • To be able to plan and prioritise daily requirements and any tasks given to you. • Self-motivated with good time management, drive and determination to complete tasks. • To act as an ambassador of the company and always uphold company standards.Who we are:Levy UK & Ireland is the vibrant and exciting sector of Compass Group, the world’s largest catering company.
