You will be responsible for the seamless planning, coordination, and execution of events that align with the National Theatre’s mission of delivering world-class experiences.Working closely with a diverse team, you will ensure every event is meticulously planned, from initial concept to final execution, guaranteeing both logistical precision and a memorable experience for all attendees. Your creativity, attention to detail, and passion for delivering exceptional events will help elevate the National Theatre’s profile as a leading venue for innovative and engaging experiences.Responsibilities Event CoordinationLiaise with clients to define event needs (food, drink, AV, décor, entertainment).Produce and obtain client sign-off on detailed event function sheets.Coordinate event details with internal teams, meeting deadlines.Attend planning meetings and provide updates to relevant departments.Ensure timely invoicing and payment, updating quotes as needed.Manage allergens and dietary needs according to policy.Oversee event handover to operations and provide support as needed.Collect and communicate post-event feedback to stakeholders.Finance ManagementEnsure accurate, on-time invoicing for all events.Track event finances, including charges, costs, and payments, in CRM.Record commercial event charges on the Good Till system.Client & Relationship ManagementCultivate and maintain strong relationships with new and existing clients.Engage in networking events, familiarisation trips, and client entertainment.Conduct post-event follow-up to encourage repeat business.Stakeholder ManagementFoster relationships with key partners, including KERB Food, National Theatre, and Compass Group/Levy.Build and maintain positive working relationships across internal teams (Food & Drink, AV, planning, etc.).Additional ResponsibilitiesSupport event sales and operations teams as needed.Promote NT Food & Drink’s sustainability initiatives in event planning.Identify opportunities to meet high-level client needs and convert them into commercial prospectsRequirementsConfident and Capable: You bring previous experience in event planning and/or coordination, ideally within the food and beverage industry, and preferably in a cultural or heritage environment.
