adi Facilities Engineering Contract Support Administrator

Location - Towcester, Northamptonshire

About the Role

As a Contract Support Administrator, you will provide administrative, financial, and operational support to the Facilities Management (FM) team. This role is essential for ensuring the smooth execution of FM contracts. You will be responsible for managing documentation, coordinating workflows, handling financial processes, and communicating with stakeholders. This position is site-based and operates from Monday to Friday.

Specifically, your key responsibilities will include:

* Support the management of FM contracts, ensuring compliance with agreed terms and SLAs.
* Liaise with stakeholders, suppliers, contractors, and internal teams to track service delivery and contractual obligations.
* Assist with invoice processing, purchase orders, and budget tracking.
* Maintain financial records related to FM contracts, ensuring timely payments and cost control.
* Coordinate FM meetings, site visits, and contractor appointments for FM services. ? Maintain service schedules for planned and reactive maintenance.
* Maintain FM databases and asset management systems (e.g., CAFM, CMMS).
* Generate performance reports on FM activities, contractor performance, and compliance metrics.
* Assist in preparing reports for management reviews and audits.
* Act as a key point of contact for client queries and service requests.
* Be a focal point for site-based helpdesk support.

About you

We would like to hear from you if you have:

* Strong PC skills and a good understanding of computerised maintenance management systems.
* Confidence in communication, with the ability to work independently as part of a busy engineering projects team.
* Proven experience in a previous contract support role is essential.
* Previous experience within an engineering company is essential.
* Excellent knowledge of PPM's and scheduling reactive works.
* Excellent written and verbal communication skills, along with strong negotiation abilities.
* Capability to work under pressure and meet deadlines.
