We are now seeking an Administrator / Command Group Clerk to join our team at Merville Barracks, Circular Road South, Colchester. This exciting role offers the opportunity to work closely with key military personnel, including the Garrison Commander, Chief of Staff (COS), Deputy Chief of Staff (DCOS), Garrison Sergeant Major (GSM), and Garrison Secretary. As a Command Group Clerk, you will play a crucial role in providing comprehensive administrative and co-ordination support, ensuring smooth operations and effective communication across the Command Group and with external agencies. If you thrive in a fast-paced, high-responsibility environment and have excellent organisational skills, we want to hear from you!What you’ll do:Co-ordinating and administering Garrison Command Group meetings, including providing agendas, updating staff trackers, booking accommodation, liaising with participants, and producing written records for approval.Ensuring that the Command Group is kept up to date with diary issues relevant to HQ operations.Coordination of activities with both internal and external agencies, including HQ 16 Air Assault Brigade and HQ Regional Point of Command (RPOC) Centre.Coordinating the Garrison Commander’s weekly diary in alignment with Command Group activities.Supporting the Command Group in meeting report and return deadlines to the RPOC Centre.Managing both incoming and outgoing correspondence in a prompt and efficient manner.Preparing and distributing the Garrison Commander’s weekly programme, long-term forecast, and visit schedules.Managing the Garrison Commander’s diary, ensuring all logistics (transport, accommodation, and briefings) are arranged.Drafting and distributing letters and other official correspondence as instructed.Ensuring all documents are handled securely and in compliance with regulations.Managing and maintaining shared document libraries using MODNet and SharePoint.Coordinating and maintaining the HQ Colchester Garrison Hospitality Register.Regularly briefing on the Forecast of Events (FOE) for Commander 16X and RPOC.Assisting with general office administration and supporting the Command Group’s daily operations.Continually developing personal skills and knowledge, including completing any required training.Maintaining excellent client/customer relationships and collaborating effectively with the team.Accountabilities:Efficiently complete all assigned tasks and responsibilities within the given timelines.Effectively manage and coordinate the Garrison Commander’s diary.Ensure smooth communication with internal and external agencies.Ensure compliance with all travel, subsistence, and scheduling policies.Maintain high standards of document security and confidentiality.What you bring:Proficiency in using Microsoft Office applications (Word, Excel, PowerPoint, One Note) to produce documents, reports, and presentations.Minimum of 5 GCSEs at Grade C or above or equivalent or NVQ Business Administration Level 2.Completion of the Defence Writing Skills course on DLE.Strong organisational and planning abilities.Excellent interpersonal and communication skills, both written and verbal.Proven ability to work to tight deadlines and manage multiple tasks for different managers.Demonstrable clerical/administrative experience in a fast-paced office environment.What we offer:Working with Sodexo is more than a job; it’s a chance to be part of something greater.
